Application results

  • In the CEEPUS programme, the final decision on the applications is made by the National CEEPUS Office of the host country.
  • Applicants can check the current status of their application in the application system. 
  • Applicants will receive a system message about the award of the scholarship (status: awarded by host NCO) or the rejection of the application (status: rejected by host NCO) to the email address provided during registration.
  • The results for network applications are expected: in July after the June 15 deadline; in November-December after the October 31 round; in December-January after the submission of freemover applications by November 30.
  • The applicant must provide feedback on the acceptance of the award to the National Office of the host country.
  • The process of accepting the application online: Manage your mobility applications > Academic year (drop-down menu) > Open a given application – open > Accept. The status of the application is then: Accepted by applicant.
  • The National Office of the host country will then send a notification about the scholarship award and the next steps. In addition to accepting the application online, some countries also request a Letter of Acceptance document on paper, but they will send a separate notification about this to the supported applicants.

Amount of the scholarship

  • The awarded applicant will receive the scholarship from the host country, the amount of which varies from country to country. You can find out more about the current scholarship rates on the website of the Central CEEPUS Office, by clicking on the individual country flags and then on the "Scholarship rates".
  • The same scholarship amount applies to Network and Freemover mobilities.
  • If the scholarship holder does not stay in the host country for the full granted duration, they must repay the proportional part of the scholarship determined in the monthly rate. The monthly support cannot be divided into parts.
  • ATTENTION! Students of PPKE who have been awarded with a CEEPUS mobility and are going abroad, in addition to the monthly scholarship received from the host country, can also apply for Travel Support and Additional Support for participants with fewer opportunities.   • The scholarship holder does not have to account for the paid grant in detail.
  • The method and time of the scholarship payment is determined by the Host Institution. You can inquire about the payment by contacting the local coordinator there.

Insurance

The conditions of health insurance are set by the social policy agreement between the CEEPUS countries, so emergency basic care is free for incoming CEEPUS scholarship holders. Since Hungary's membership in the European Union, the use of an EU insurance card has been mandatory if the host country is also an EU member. If the outgoing student wishes to take out additional health insurance in addition, they must cover it from their own resources.


Reporting obligation when closing the mobility

 

1.Filling out the Online Mobility Report

  • Participants are obliged to fill out the online report available on the website of the Central CEEPUS Office (www.ceepus.info) within 2 weeks of their arrival home. The Mobility report is only available for applications that have been accepted online - Accepted by applicant status!

2. Obtaining a Letter of Confirmation

  • A document proving the scholarship holder's stay at a foreign university, which becomes available in the system at the same time as the Mobility Report. It is mandatory for both students and teachers to fill it out. The scholarship holder is required to spend the study period at the host institution. This can only be interrupted in justified cases (holidays, exams) after prior notification and consent of the faculty and network CEEPUS coordinators and the coordinator of the host institution.
  • Students are required to enter the courses completed and the credits received in the Letter of Confirmation. 
  • Teachers must report on the classes held and the professional activities of the mobility.
  • Attention! Only the form filled out in the ceepus.info system, downloaded from there and then printed out, which contains the unique QR code for the application, can be accepted! Other forms are not acceptable! The completed, printed Letter of Confirmation must be signed and stamped by the participant and the host coordinator, then uploaded to the online system and – if the scholarship holder requests it – a printed copy must be given to the scholarship holder. The sending home institution may request the presentation of the Letter of Confirmation.
  • Please ensure that when printing and scanning after signing, the QR code remains legible in good quality and in its entirety (not cut off) at the bottom of the form!

3. (FOR STUDENTS ONLY - in case of Student Mobility) Sending a Transcript of Records

  • The student is required to obtain a Transcript of Records document issued and stamped by the host institution,which confirms the credits completed.
  • There is no standard form for this, each host university uses its own form.
  • The Student is obliged to send the document to the faculty CEEPUS coordinator. Those who spend at least 3 months at the host institution must prove that they have obtained a minimum of 25 ECTS credits (20 ECTS in the FISH and "Habsburg" networks).

 

4. (FOR STUDENTS ONLY) Sending travel documents

  • If the Student has requested additional travel support, they are obliged to present the travel tickets and send them to the CEEPUS coordinator. If the student traveled by car, they declare the route and time of the outbound and return journey by filling out a declaration form. The declaration form can be downloaded from the CEEPUS Forms menu.
